As our new Head of Conveyancing, you will have day-to-day responsibility for managing the Conveyancing department including operational management, performance management, administrative management and other duties as required by business needs and from the Group Managing Director.
Role Responsibilities
- To deliver operational performance in accordance with the business plan.
- To have direct management of the teams within Barrett & Co office (to include administration team and operations support as well as fee earning teams/staff); directing and motivating the team to operate in accordance with Group business protocols and adopting the Group Company Values.
- To run and manage a suitably sized caseload, subject to seasonality and continuing review of capacity both individually and across the department, with the use of an assistant.
- To ensure that exceptional customer service is delivered at all times.
- To work with the PMPL Director of Operations to implement day-to-day improvements and changes as required to the case management system and suite of MI.
- Ensure all activity within Barrett & Co is completed in accordance with strict deadlines and in line with set KPIs ad SLAs, and in full compliance with CQS, SRA and all other relevant statutory and regulatory frameworks and requirements.
- Set goals in line with the budget.
- Set team/ individual targets in line with a bonus structure on a monthly basis.
- Work with and as part of the senior management team to deliver business strategy.
- Work with PM Law Group MD to bring on board new work and referrers as appropriate, and to manage those referrals and business relationships.
- Monitor and manage departmental team and individual performance on a daily/ weekly basis, including but not limited to performance against completion targets, and office billing against target, and address any concerns as well as reporting weekly to the Group Managing Director.
- Conduct 1 to 1s / PDP Reviews, appraisals, team meetings and on-the-job staff training as required.
- Responsibility for completing your own customer transactions whilst supporting the team.
- Practically run the day-to-day management of the Conveyancing Department.
- Improve the operational systems, processes and policies in line with the company’s objectives.
- Sign off all client identity checks, CQS1 and CQS 2 where manager approval is required.
- Review staff performance data to measure productivity and goal achievement by way of MI reports.
- Ensure delivery of existing KPI’s and SLA’s.
- Review and implement staff incentives.
- Assist the Group Managing Director with any other duties as required.
- Monitor and comply with third-party obligations and requirements.
- Manage the phone system within the office.
- Organise all desk moves, and PC ordering in conjunction with Head Office.
- Administration of recruitment and onboarding of new staff within the Department.
- You may be required to perform any other duties and to work in any other areas as requested by the Company if necessary, which may include other offices and those of clients.
What we need from you
- Minimum 5 years experience in the conveyancing sector is essential.
- Demonstrable experience in freehold, leasehold, shared ownership/equity, registered/unregistered properties, Sale and Purchase, Transfer of Equity, remortgage & refinancing.
- Previous experience in performance management, process management analysis and decision-making would be desirable.
- Previous leadership experience would be advantageous.
- Ability to work with detailed financial information.
- Accurate with excellent attention to detail.
- Trustworthy, proactive and well organised with an ability to use own initiative.
- A clear focus on quality and customer service.
- The competence to apply the business objectives to all tasks.
