As our new Senior Private Client Legal Assistant, you will provide general administration assistance as part of the Client Facing Legal Team delivering the highest level of customer service to clients at all times. Part of your role will also involve supervising and managing junior legal assistants.

Role Responsibilities

What will you be doing day to day?

 

  • Managing the legal assistants to ensure that they are performing their expected tasks and the work load is evenly shared;
  • Training legal assistant’s in relation to the accounts process, opening and closing files process and billing process for specific departments;
  • Training legal assistants in relation to the post process;
  • Managing the diary for incidences such as lunches to ensure there is adequate lunchtime cover and ensuring that there is a legal assistant with a FE in meetings;
  • Managing the car parking diary process and liaising with reception every Friday in relation to the following week;
  • Taking responsibility of creating a ‘process’ of work (when needed by the firm) and liaising with HOD or Megan Aedy re: implementation.
  • Assisting Fee earners in carrying out more complex legal tasks.
  • Communicating with clients over the telephone, by email and in face-to-face meetings and with other solicitors and professional organisations as part of the Legal Team providing the highest level of customer service to clients at all times.
  • Carrying out Solicitor and Client Due diligence.
  • Requesting Documentation fundamental to the transaction.
  • Ensuring documents are returned by client’s and work providers, chasing them if required and progressing Transactions.
  • Logging correspondence to the correct files / matters.
  • Entering data in to the correct fields in the case management system from correspondence received.
  • Logging and completing tasks on the case management system.
  • Performing general administration tasks, including answering telephones.
  • To assist with the smooth running of private client and probate matters as directed.
  • Liaising with accounting staff in respect of related queries, invoicing, recording payments & receipts.
  • To prepare correspondence through digital dictation and copy typing;
  • To retrieve outsourced typing, collate and finalise correspondence for issuing and saving into the case management system;
  • To be a role model for those around you in both file management, actions and behaviour.
  • To ensure individual compliance with all policies and procedures at all times .
  • To attend and contribute in team meetings.
  • To report directly to the Private Client Team Managers on all above aspects.
  • The role will be based in the Private Client department. This role will be based in Reading reporting to the Department Head and in due course any Team Leader which may be in place.
  • You may be required to perform any other duties and to work in any other areas as requested by the Company if necessary, which may include other offices and those of clients.

  • Must be able to communicate well both orally and in writing.
  • Minimum 1 years’ experience (but all levels considered including more senior) of working in an admin role.
  • Minimum 1 years’ experience (but all levels considered including more senior) of working in a client care/customer service environment.
  • Minimum 1 years’ experience (but all levels considered including more senior) of working in a firm of Solicitors.
  • Understanding of e-mail systems, portals and other IT as appropriate.
  • Good standard of spoken and written English required.
  • Competent use of MS Office required.
  • Use of Case Management System.
