As our newly appointed New Business Team Administration Assistant your role will involve assisting the New Business & Client Care Team to ensure the provision of a reliable, efficient and timely service and to ensure Butterworths exceed client expectations and to provide a first-class customer experience.

Role Responsibilities

Role responsibilities:

 

  • To accurately produce and send out paperwork to clients via post and email and Utilising a practice management system to create new clients and set up new files
  • Task Management including daily chasing of clients for outstanding paperwork
  • Assisting clients face to face or by telephone with paperwork and in a friendly, helpful and courteous manner and deal with any enquiries as efficiently as possible and providing the highest level of customer service to clients.
  • Logging correspondence to the correct files / matters.
  • Entering data into the correct fields in the case management system from correspondence received.
  • Logging and completing tasks on the case management system.
  • Performing general administration tasks.
  • Observe client confidentiality at all times
  • Knowledge of what information is required from the client and ensuring accurate inputting of data onto the computer
  • Ensure that client records are kept up to date
  • Providing Estate Agents and Clients with updates as and when required
  • To attend and contribute in team meetings.
  • To report directly to the Conveyancing Team Manager on all above aspects.
  • The role will be based in the Conveyancing Department, however, there may be a requirement to work in other areas of the business as the need arises.
  • You may be required to perform any other duties and to work in any other areas as requested by the Company if necessary, which may include other offices and those of clients.

 

What we need from you

What do we need from you?

 

  • Minimum 1 years’ experience (but all levels considered) of working in an admin role.
  • Minimum 1 years’ experience (but all levels considered) of working in a client care/customer service environment.
  • Minimum 1 years’ experience (but all levels considered) of working in an estate agency or conveyancing role.  Full training will be given in relation to Residential Conveyancing processes.
  • Able to always provide exceptional levels of customer service.
  • Able to work to deadlines.
  • Has an eye for detail.
  • Computer Literate.
  • Able to prioritise workloads.
  • Willingness to adhere to and surpass administration targets.
  • Able to work on own initiative and as part of a team.
  • Polite and professional telephone manner.
  • Enthusiastic with a real desire to want to learn and develop.
